Pre-Event Planning

Coordinate meetings to establish the party’s overall look, theme & scope

Organize site visits for potential venue options

Develop a goal and giving triangle (for fundraisers)

Lead board members and/or committee members in development strategies and brainstorming sessions

Timeline Management

Establish a timeline for your event

Establish short and long-term timeline guideposts

Produce monthly reports of timeline status and exceptions

Create a combined install schedule with venue and vendors

Lead and manage on-site logistics

Event Planning

Work collaboratively with the client to establish the look & feel of the event

Assist in building event budget

Present idea boards for Client’s approval

Assist in vendor selection and management

Source and secure Rentals and Decor as needed (florist, linens, chairs, etc.)

Assist in sourcing and securing Catering team as needed

Source and secure favors and party gifts as needed

Source and secure any specialty vendors as needed (entertainment, A/V, photographer, etc.)

Create venue floor plans and party flow

Maintain mailing lists

Manage RSVP and guest list

Arrangements for tours and activities for out of town guests

Create comprehensive materials for guests as needed (timelines, itineraries event details, etc.)

Coordinate all aspects of the budget, including oversight of the final budget

Assist in creating invitations and other needed printed materials

Coordinate meetings for printed material samples

Manage all mailing lists

Manage all replies and guest count

Fundraising Consulting

Explore new fundraising models

Assist in creating committee structures, roles, and expectations

Assist in leading committee meetings with volunteer committee

Build an understanding of prior budgets, guests lists, marketing efforts, and all other event details

Identify past trends, successes, and failures and make recommendations on improvements

Assist in identifying sponsorship opportunities and creating tiered benefit levels of giving

Social Media Planning & Management

Craft monthly editorial calendar to support special events and announcements

Manage social media posts and monitor site for questions and commentary

Assist in creating Facebook events

Create photo albums to highlight specific events, staff, etc.

Assist in following and engaging with profiles to initiate social media growth
